Privacy Policy.

This policy describes how Sommers Ventures LLC (operating as Sommers Systems) collects, uses, and protects information.

01 / What we collect

We collect the minimum information required to operate the business:

• Site visits: aggregate analytics (page views, referrer, country). We use Vercel Analytics with privacy mode enabled. No cookies. No fingerprinting. No individual visitor tracking.
• Booking forms (via Cal.com): name, email, business name, business stage, and any context you provide. Used only to prepare for your fit call.
• Payment data (via Stripe): name, email, billing address, payment card details. Stripe processes and stores card data; we never see full card numbers. Subscription metadata (active/canceled, billing dates) is visible to us.
• Client engagement data: any business information you share during onboarding, strategy calls, or Slack support. Stored in our private Notion workspace.
• Email correspondence: stored in Gmail with standard security.

02 / What we do with it

Information is used to:

• Deliver the services you've purchased
• Send transactional emails (welcome, billing receipts, scheduling)
• Send subscriber updates if you've explicitly opted in to the newsletter
• Improve our offerings and methodologies (always anonymized)
• Comply with legal obligations (tax records, NCAA compliance documentation)

03 / What we don't do

• We do not sell your information. Ever. To anyone.
• We do not share your information with advertising platforms.
• We do not use your information to train commercial AI models.
• We do not have third-party analytics that track individuals.
• We do not retain payment card data on our servers (Stripe handles all card processing).

04 / Third-party services we use

We rely on these services to operate. Each has its own privacy policy:

• Stripe for payment processing
• Cal.com for booking
• Google Workspace for email
• Notion for client workspace and CRM
• Slack for client communication
• Anthropic (Claude) and OpenAI (ChatGPT) for AI workflow execution (only used with client consent on client data)
• Vercel for site hosting and privacy-mode analytics

05 / Data retention

We retain Client information for the duration of the active engagement plus seven years (for tax and legal purposes). Upon written request, we will delete all non-legally-required Client information within 30 days.

06 / Your rights

You have the right to:

• Request a copy of the information we hold about you
• Request corrections to inaccurate information
• Request deletion of your information (subject to legal retention requirements)
• Opt out of any non-transactional emails at any time
• Cancel any subscription and request deletion of related data

07 / Security

We use industry-standard security practices including encrypted email, strong passwords with 2FA on all critical accounts (Stripe, Notion, Gmail, hosting), and access controls on all Client data. No system is perfectly secure; we will notify affected Clients within 72 hours if any breach occurs.

08 / Children's privacy

Sommers Systems does not knowingly collect information from anyone under 18. We do not market to minors.

09 / Changes to this policy

Material changes will be communicated to active subscribers via email at least 30 days in advance. Continued use of services after notification constitutes acceptance.
